We know about SenSource's overhead video viewer and are considering it, but that will take time to set up. We also need something quick, if temporary.

I received this note in an email from a Shared Services eVA approver this morning. Evidently it is a new rule, not widely known.

"I wanted to let you know that we need to have the vendors contract# on Quotes and Invoices going forward. Before I can process this attached quote, I will need you to have the contract# on this quote. Talking to the vendor colleges can add to the quote when keying the order online."

Anyway, this is the second requisition I've had delayed because I had only put the contract number in the contract field and comments, but had not known to ask the vendor to include it. The first time, the approver contracted the vendor for a new quote without letting me know why. So I felt like it was important to spread the word.

And when I replied that I had missed the announcement, not particularly apologetically, this was the reply:

"I am not sure if one was sent out, but they mentioned to us going forward we had to be sure the contract#s are on them. We are just announcing it as we receive them. Thank you for your quick follow up on this."

They apparently stopped selling academic books, but have re-entered that market. A note was left for me to consider using them again instead of YBP/GOBI. Just wanted insight from others. What's the discount like? Do they offer processing that suits your needs? Do you have contact info you can share? We have an open blanket order with them for DVDs, but I wasn't left with any contact information, a website for ordering, etc.

RFID labels and technology

We are planning to purchase a couple of rolls of RFID labels for Reynolds libraries. They are fairly pricey in the rolls of 2000. We have Bibliotheca (formerly 3M) security gates and staff workstation pads. Our system was installed in 2008(ish).

Sourcing the labels is easy enough. Brodart and Demco both carry the Bibliotheca basic ISO RFID tags, and they are both on state contract through MALIA. It's harder to find a micro vendor that carries them, though Jupiter Associates (also on Malia state contract) will source them for us. But the least expensive vendor I have found is Minitex, listed in eVA as the Board of Regents of the University of Minnesota. They are neither SWAM nor on state contract, but the savings over the two library vendors is significant and would justify their use.

But I noticed that Demco sells their own brand of ISO RFID tags (not actually cheaper per label than Bibliotheca), and I don't know if they are compatible with our system. Their web catalog doesn't say, and I can't find any library literature on it.

So...I think it would be helpful to hear from libraries using RFID security and circulation systems. For example:

Whose technology do you use?

What brand of RFID labels do you buy, and from which vendor?

Are the labels proprietary by system or is any RFID label with the same frequency and some programming capability equally useful?

We have had our system for about 14 years. I wonder about its lifespan. I don't want to invest in so many labels if we might have to upgrade in the next three years.

We know that our workstation RFID pads don't work smoothly with Alma, though we can make them work. If we upgraded out pads, would they still work with the same labels? Has anybody upgraded?

We pay annually for a maintenance contract from Bibliotheca for our security gates--for three campuses. It doesn't include hardware upgrades, but we do get prompt service on the gates. But I wonder if we would be better off just paying per service call--and if that would affect the response time.

We lost our self-check capabilities when we moved from Aleph to Alma, and even after buying a new microcomputer when XP was no longer supported, we have not been able to figure it out, and by now that operating system is probably also out of date. Thoughts?

Thank you for your insights!
The Shared Services Procurement Team is excited to announce a new contracts resource available to colleges and systems office. A listing of the known procurement contracts is now published on the SSC website for your reference!
We hope you find this new resource useful when looking for existing contracts to purchase goods and services. This listing is fluid and constantly changing; it is meant to be a tool to provide assistance if you would like to look for contracts on your own. As always, email us at contracts@ssc.vccs.edu if you need assistance with a procurement contract or if you need help getting started.

This published list on the SSC website contains all of the known VCCS contracts and some of the approved cooperative contracts. Generally, these contracts and cooperatives are for procurements where spend is cumulatively over $100,000 (e.g. Year 1 = $50,000+ Year 2 = $50,000 totals $100,000). This means college specific small vendor agreements may not be on this listing. Those contracts are generally attached directly to the purchase requisition.

This listing might be helpful to:

Find a contract that already exists for your procurement needs

Know when your contract is expiring and/or how many renewals are remaining. SSC is actively reviewing this listing and moving contracts to the ‘queued to work’ on a solicitation or in the ‘active solicitations’ list.

See all your College’s contracts and maybe even notice that we don’t have one listed or something is incorrect. If updates are needed, please send us the information right away to contracts@ssc.vccs.edu so the appropriate changes can be made - thank you for partnering with us to make this listing as complete as possible!

See that there are lots of options available for your expiring contracts. You can email contracts@ssc.vccs.edu for assistance with determining which contract is best to meet your needs.

Special notes on this listing:

To review a contract, please email the contract name/number to contracts@ssc.vccs.edu (linkages will be a future improvement)
I recently met with Lance Billard, VCCS Program Director for Shared Services Implementation, to discuss some purchasing and contract questions and he asked me to reiterate these key points to all:

For any instance where the VCCS (Colleges, SO, or SSC) are acquiring goods or services in exchange for value (usually money), the contracts or agreements must be reviewed, approved, and signed by the Shared Services Center.
For help with any questions on these processes, contact the Procurement team at the SSC by emailing contracts@ssc.vccs.edu or calling the SSC Help Center 877-340-5577.

Dear Colleagues,
The Leadership Group recently discussed the ongoing purchasing challenges faced by all libraries, and decided to take the following actions:

1. Identify and connect the college library staff that are responsible for aspects of the purchasing workflow

2. Collaboratively develop a shared knowledge base of library-specific purchasing methods and types in order to

3. Understand our own processes and

4. Standardize library-side purchasing processes (within reason) in order to work more effectively with the SSC.

If you have any level of purchasing responsibility, please complete this brief survey before Friday, 10/18/2019:

Dear Colleagues,
The Library Steering Committee requests your assistance compiling examples of specific problems your library has encountered in the course of attempting to conduct business with the Shared Service Center. Ideally, we can collect enough information to review and discuss as part of the fall Library Leadership meeting on October 2. Please contribute your experiences using this form so that we have everything in one place:
https://forms.gle/aSARopnwsPiv55Eu9.

As always, concrete details are most helpful! For example: I hand-submitted the order on April 1, and it was not processed until August 15. Once we have substantive information compiled, our goal is to share this constructively with Dr. Craig Herndon and his SO Procurement staff. Thank you in advance,
