Dear Leadership Team,
VCCS ITS will apply critical server updates for Ex Libris library services today, and work is underway this morning.

• This work requires downtime that will prevent you from logging on to Alma. I apologize for any disruption to your planned workflows and will advise once the work is complete.

• Students will not be able to sign in to Primo during the downtime, but they will still be able to conduct searches and link to results as expected.

As a reminder (and for those who are new to the Alma environment), library staff should use the Alma Offline Utility to record all Fulfillment transactions during Alma downtime. Here are the utility setup instructions from Ex Libris, please note that the installation requires admin privileges:

Setting Up the Offline Circulation Utility
The Offline Circulation utility must be installed separately on each computer on which it will be used.

To download and install the Offline Circulation utility:
1. Download the utility from https://developers.exlibrisgroup.com/blo...rculation/. The file is called setup_offcirc.zip.
2. Unzip the file into a folder. The unzipped file contains one file, setup_offcirc.exe. This is the installer.
3. Run the installer (requires Administrator privileges). The utility is installed on the computer. By default, it is installed in the C:\Alma Offline Circulation folder.
Ensure that you install the Offline Circulation utility in a location in which it won't be accidentally deleted (for example, by a workstation reboot that removes all local data files).

Full documentation for this utility:
https://knowledge.exlibrisgroup.com/Alma...on_Utility

Thank you for your understanding and patience.

Good afternoon,

Late yesterday afternoon we identified issues with linking to library resources via Linker for users off-campus. ITS has been working on this, and they suspect that recent MyVCCS portal changes may be responsible.

Linkers being used on-campus are working normally, and proxied URLs are also working normally. Links in Primo/Quicksearch are proxied, so those are working normally also.

I will update this post when I hear back from ITS. Please let me know if you have any questions in the meantime.

Good morning,

Yesterday multiple libraries reported that they were unable to access both Alma and Primo for a period of time beginning sometime before 8:50 AM, and ending around 9:20 AM.

Based on the information gathered from these reports, only on-campus users were experiencing this issue. Those off-campus were able to access both systems normally. Staff at DCC reported that they could get in to Alma by using their browser's "Incognito" mode. So it seems that this was related to browser caching for machines on the VCCS network.

I reported the outage to both VCCS Networking and Ex Libris, and neither claimed making any changes that would have caused this. Ex Libris did note that no other colleges reported an issue, only the VCCS.

If this reoccurs (hopefully it will not!) I would suggest clearing your browser cache and/or logging in via Incognito Mode. Though, of course, please also let us know if it happens again, with as many details as possible, so we can follow-up with ITS as needed.

Good afternoon,

Each year we tidy up the patrons in Alma by removing users who are past their "purge date," which should be one year after they have expired. Any users who have active loans (including lost loans), fines, or fees on their accounts will not be purged. I'd like to remove these aged-out users on Friday. If you have any questions or concerns, please reach out to me.

Also, in the future, if your library would ever like to waive fines/fees based on size and/or age, it is possible and straightforward (i.e., to remove users more than X years expired, with less than $Y.YY owned) and I would be happy to lighten our patron load on these cases! I know several schools have moved away from fines/fees in the last few years.
