Notes from the Maintenance of Shared E-book Records conference call - slawlor - 11-05-2014

This is the discussion we had on the maintenance questions. Please make any corrections or additions if you see something that I missed.

1. Determine the process by which titles are identified to be deleted (e.g. by subject, by date, etc.) and establish criteria for weeding (i.e. we will always delete an older edition when the new one is cataloged).

Some areas (Nursing & Health Sciences, Computer Science) are date sensitive and should be weeded after 5 years or so. Gene will see what kind of reports Charles can run by call number or discipline.
Currently when we get an book from EBL and it matches one of the old shared NetLibrary titles, Gene has been deleting the NetLibrary record.

2. Develop a process where others (other than the committee) can suggest titles for deletion.

Gene will create a new Lincsite forum for suggestions. It will be open to everyone but someone from this committee should comment on anything that is suggested. If a deletion is suggested and no one protests, then it will go. We’ll aim to review and delete titles on a quarterly basis.

When titles are suggested for deletion, we need the ISBN as well as the title to make sure we’re looking at the correct record.

3. For titles under consideration for deletion, determine if we delete the title globally or allow continued access to a few colleges.

Yes allow individual college access

4. Determine process for notifying the colleges of possible deletions; provide an avenue for people to make comments/suggestions if the title is used in support of a course.

See item 2.

5. Determine if the title should be removed from all access points, i.e. other databases, in addition to the catalog.

Yes titles will be removed when we have the ability to do so.

6. Determine if we want to totally delete the bib record, suppress it, or remove it by other means.

Totally delete. Suppressed records tend to be forgotten and we believe we will be giving people enough time to comment before the records are deleted.

7. When we have duplicate records (because of OCLC numbers), which title do we keep and why? How do we identify these records?

We will keep the one with the most OCLC numbers, which is usually the most current.

Currently if an EBL record is matching a on Safari, Springer, or Elsevier, we are is preferring the S/S/E record. We have unlimited rights to those, and would have to pay for EBL. If a duplicate shows up because one college has purchased that title individually, we will keep the duplicate.

We should note that Springer and Elsevier don’t always delete old records from their site, so users might still find the titles if they’re searching through their sites rather than through Primo.

8. What is the process for individually owned titles? Does it differ? What about FOD records?

FOD sends lists of withdrawn titles regularly, and Gene deletes them.

9. Does anyone have additional items they would like the committee to discuss?

Question about reviewing the publishers lists. We’ve reached a point where we’re going to have to start looking at individual titles. All the publishers who could be deleted wholesale have been covered.
