Lost Reports in Alma - rparrott - 01-11-2019

Good morning.
Does anyone have insight on how to run lost reports in Alma for a longer period than a single day? We have been able to find the automated reports that run each day, but is there a way to run reports for, say, a week or a month?

Any insight is appreciated.

Thanks!

Hi Rebeca,

This is sounds like something you can do in Analytics.  What do you mean by a "lost report"?  What information do you need to retrieve?

Hi, Jacqueline.

Thanks for the response. By a "lost report," I mean a comprehensive list of all "lost" materials. Preferably, we are trying to see if we can run a report for all materials that changed to lost status during a certain time frame, like a specific week or month. Right now, we can only pull up the automated report that shows what title changed to "lost" status each day.

Thanks!

Rebeca

For a quick and dirty way to do this, you can use the Advanced Search feature for Physical Items. Go to Advanced Search, then use the Physical Item list to find Process type. Process Type Equals Lost will get you all of them. If you just want one campus, you can add a line and choose the Physical Item: Current Location Equals <campus>. I don't think there is any way to limit by date this way (at least I haven't found one), but you do get the due date. Assuming you know how long after the due date something gets set to lost, you can download to Excel and then sort by due date. As Jacqueline said, for date specific reports, you'd need to use Analytics. j

Rebeca:

I took a quick look in Analytics to see if there was already a 'canned' report that would do what you need. There was one that didn't include the date. Since I am trying to learn to do more in Analytics, I tried adding the date. I haven't figured out yet how to remove choices I don't want to make available, but, in general, the report works. I put a copy in the VCCS folder -- under Shared Folders--Community--Reports--Consortia--VCCS. It is called Items by process Type and Date of Process. If you have Design Analytics authority, copy it to your folder and see if it does what you need (you will probably have to tweak the prompts for JTCC). If you don't have that authority, ask the person at JTCC who does to make it available to you. j

Hi, Jacque.
This method worked great! I don't have much experience in Analytics so have shared this method with my veteran co-workers. Thank you for your guidance on this. Have a great one.
