IPEDS Flagging Digital Media & Serials Counts
#5
other reasons the numbers jumped is because VIVA added additional ebook collections and because of the efforts of the Transition Team to get the holdings in the library catalog updated.

The team divided up every resource. Since Films on Demand was one of TCC's responsibilities, I'll use it as an example. Almost all of the colleges who subscribe to FOD subscribe to the exact same pieces and, therefore, should have had the exact same record count in the catalog. A couple schools subscribe to less and one school subscribed to more. In Aleph, however, there were widely differing record counts. Only a few schools had the same count, and the school that should have had the most records had less than most!

To get them up-to-date, we (that's the royal 'we', as Beverly Hills did all the work!), went into each FOD admin and created a new set of MARC records for the entire collection available to that institution, then loaded it into Aleph for each school. After that that was finished, she updated each school monthly. If there were any discrepancies with the number of records in the add file for each institution, she would reconcile them until she reached the 'magic number' that correctly reflected what each school had available. As a result, a lot more FOD titles ended up in the catalog and, since we used the catalog number for our count, in IPEDS.

I think everyone ought to get flagged on these counts. I have forgotten the exact wording, but our note was something to the effect that items missing from discovery had been identified and added.
